Passport is a necessary document issued by the government of that particular country, which certifies the holder’s identity and their citizenship. It allows the passport holder to travel to and from foreign countries.

To apply for a passport or visa in India, one has to submit several documents, given below is a list of papers that need to be provided to (or “intending to”) avail a passport.

Here, we have enlisted some of the major conditions that happen and the documents required in the particular scenario to get the passport.

Fresh Passport Application – Documents Required

General Category- Below mentioned is a list of papers that needs to be submitted to apply for a General Passport under different categories.

Address proof – One of the following documents can be submitted as address proof for Passport.

  • Valid ration card with the present address.
  • Election ID card with the permanent address.
  • Aadhaar card, Phone bill with current address., and Gas connection.
  • Bank passport.
  • Rental agreement (if staying in a rented house).
  • Income Tax Assessment order.
  • Electricity and Water bill with recent address.
  • Certificate from employer on letterhead with a signature and a seal.
  • Spouse Passport
  • Parents’ passport
  • Age proof- One can submit any of the following documents like a birth certificate for a passport.
  • Birth certificate endowed by the municipal authority or any other office authorized to issue the birth proof.
  • School leaving certificate/ Secondary school leaving certificate.
  • Certificate determined before a magistrate.

Tatkal Passport – Documents Required

Below are the documents listed needed to apply for a Tatkal passport:

  • Address proof – One of the following documents can be submitted as address proof for Passport.
  • Valid ration card with a current address.
  • Election ID card with current address.
  • Aadhaar card, Phone bill with recent address, and Gas connection.
  • Bank passport
  • Rental agreement (if staying in a rented house).
  • Income Tax Assessment order.
  • Water bill and Electricity bill with current address.
  • Certificate from employer on letterhead with a signature and seal.
  • Spouse passport
  • Parents’ passport
  • Age Proof – You can submit any of the following papers like the birth certificate (Issued by municipal authority) for a passport.
  • School leaving certificate/ Secondary school leaving certificate.
  • Certificate proclaimed before a magistrate.

Date Of Birth Documents Needed For Passport

Recently, the Ministry of External Affairs (MEA) announced new rules for passports to simplify the visa processes. Holding a vision to introduce a streamlined process that is transparent and accessible, MEA has taken various exciting steps pertaining the ‘date of birth’ section of the passport.

After five years from the passport issuance date, changes to the birth date was not allowed. Before the announcement, any candidate born on or after 26/01/1989 was bound to give the Birth Certificate to verify DOB. The new rules will enable individuals to provide digitally signed birth certificate as a valid proof of DOB. Under the new laws, any of the following document that shows the birth date is accepted as evidence for passport applications:

A certificate issued for leaving school, transfer issued by a recognized educational institution/establishment.

  • Permanent Account Number (PAN) issued by Income Tax Department.
  • Aadhaar Card/E-Aadhar issued by Unique Identification Authority (UIAD) of India.
  • Driving license favored by the state government’s Transport Department.
  • Voter ID card or Election Photo Identity Card issued by the Election Commission of India.
  • Service record or Pay Pension Order with DOB (applicable for government employees).
  • Policy Bond issued by the Public Life Insurance firms.
  • A birth certificate or proof issued under the Registration of Births & Death Act, 1969 by designated authority.

The government has implemented many other changes to the passport application process that are useful and easier compared to the old methods. With the introduction of varying apps like:

MPassport Seva – a smartphone application for accessing passport related information.
MPassport Police App – for helping police officers to carry out simple verification process.
Student Connect – allowing students to apply for a passport easily, and more programs, MEA is processing more visa applications each day.

Diplomatic Passport Documents 

Below is a list of papers that is needed to provide for procuring an Official or Diplomatic Passport. Each copy of the documents mentioned below will have to submit.

  • Official identity card of the candidate or that of the Head of Office.
  • A certificate that has been issued by the Head of Office.
  • An Official Request Letter from the Forwarding Officer.
  • PMO or Political Clearance Certificate, if required.

For existing passport –

Official or Diplomatic Passport (in reissue applications) – Original Diplomatic or Official Passport for cancellation. In a scenario, it has the Ministry of External Affairs has kept this in custody that original Safe Custody or Surrender Certificate will be given. In any case, this has been dropped by the Ministry of External Affairs; the Original Cancellation Certificate will have to be provided.

Ordinary Passport – Certificate of Safe Custody

In case an official is retiring in less than six months from the application date, he/she will have to give an undertaking from his/her office that the Diplomatic or Official Passport will be granted to the agency as soon as he/she returns.

Applicants must note that the documents must be placed in the order given below –

  • Printed copy of online filled application form.
  • Political or PMO clearance.
  • A copy of identity card.
  • Certificate from the Head of Office.
  • Request from a Forwarding Officer.
  • Other necessary documents.

Reissue of Passport in India – Documents Required 

A passport is re-issued when a person needs a whole new passport. The claimant will receive a new booklet along with a new passport number. Passports are re-issued in cases like A passport that’s about to expire or has expired, lost, stolen passport, exhaustion of pages, damaged or soiled passports, changes in personal details.

Listed below are the documents required to apply for the re-issue of the passport in different cases.

Case 1: Validity due to expiration or expired. 

  • Original old passport.
  • A copy of the first and last two pages of the passport (self-attested).
  • A copy of ECR or Non-ECR page (self-attested).
  • Self-attested copy of validity extension page (in the case of short validity passport).

Case 2: Exhaustion of pages

  • Original old passport.
  • Self-attested copy of the first and last two pages of the passport.
  • Self-attested copy of ECR or Non-ECR page.
  • Self-attested copy of validity extension page (in the case of short validity passport).

Lost Passport Application – Documents Requirement 

  • An affidavit that states info about where and how the passport was stolen.
  • Original police report (FIR).
  • Self-attested copy of ECR or Non-ECR page.
  • Self-attested copy of validity extension page (regarding short validity passport).
  • Address proof- One of the following documents can be submitted as address proof for Passport.
  • Valid ration card with the present address.
  • Election ID card with current address.
  • Aadhaar card, Phone bill with current address, and Gas connection.
  • Bank passport
  • Rental agreement (if staying in a rented house).
  • Income Tax Assessment order.
  • Water bill and Electricity bill with current address.
  • Certificate from employer on letterhead with a seal and signature.
  • Spouse passport.
  • Parents’ passport.
  • Age Proof – You can submit any of the following documents like birth certificate (issued by the municipal authority of any other authorized office) for a passport.
  • School leaving certificate/ Secondary school leaving certificate.
  • Certificate affirmed before a magistrate.

Damaged Passport Application – Documents Required 

  • Old passport (original).
  • A copy of the first and last two pages of the passport (self-attested).
  • A copy of ECR or Non-ECR page (self-attested).
  • A copy of validity extension page (Self-attested, in the case of short validity passport).
  • An affidavit stating the information about how the passport got damaged.
  • Age proof.
  • Birth certificate.
  • School leaving certificate/ Secondary school leaving certificate.
  • Certificate affirmed before a magistrate.

Change in Existing Details: 

  • Original old passport.
  • Self-attested copy of the first and last two pages of the passport.
  • Self-attested copy of ECR or Non-ECR page.
  • Self-attested copy of validity extension page (in case of short validity passport)

Any one of the following documents:

  • Certified copy of marriage certificate issued by the Registrar of Marriages.
  • A joint affidavit from wife and husband along with a photograph together.
  • Claimant as per Annexure K.
  • Self-attested photocopy of the spouse’s Passport.

Renewal Passport Application – Documents 

A passport is renewed when the validity needs to be extended. In the case of renewal, the passport number will remain the same; only the validity will be changed. Below the documents are listed that you may require while applying for a passport renewal:

  • Original old Passport.
  • A Copy (self-attested) of the first two and last two pages.
  • Self-attested copy of the ECR/Non-ECR page.
  • Self-attested copy of the page of observation. (If any, made by Passport Issuing Authority).
  • Self-attested copy of the validity extension page (if any, in respect of short validity passport).
  • Proof of documents, which terminates the cause of issuance of Short Validity Passport (SVP).

Key Points to Remember

  • For Minor applicants, address proof document can be in the name of parents.
  • If the applicant is providing only ration card/ Election ID Card/ Aadhaar Card as address proof, it must be supported with another one more address proof.
  • If the claimant is born after 26/01/1989 Birth Certificate is mandatory.
  • Annexure H must be submitted if the claimant is a minor.
  • Annexure B&M must be submitted if the applicant is a government employee.
